As for making changes, such as adding variants, you can add the necessary adaptations yourself by using the links under 'Contribute to this catalog' at the bottom of each token's page (see ‘Modify or add data on this page’, marked in light blue at the top of the list):
Your submission will then need to be verified by one of our wonderful Referees, but if you've already discussed the item and supplied photos during the ensuing conversation, that change should go through within a few days. You can also provide a link to the relevant Forum conversation on the submission page too, which can help speed things up. Alternatively, if the item you've found requires a completely new page, I've found that the best way of adding a brand new item is to find a similar item's page and then use the ‘Duplicate this page’ link at the bottom of the light blue list. That gives you a starting point with what things you need to look at, so you can then just make the necessary changes (but, be careful to make ALL the necessary changes before you submit).
Numista thrives on the contributions of it's members so every addition that people make adds to the combined knowledge of all. It's also a great way of becoming more involved and a wonderful feeling after you've added an item knowing that it will remain in the catalogue in perpetuity.
